Let's be straight: Excel + WhatsApp is the default starting point for most Indian builders — and there's no shame in that. It's free, ubiquitous, your supervisor already uses WhatsApp, and your accountant already lives in Excel. For a single-project owner-builder doing a 4BHK with 2 mazdoors, it works fine.
The pattern we see, though, is consistent: somewhere around 3 active sites, 10+ team members, or your first GST scrutiny, the cracks start to show. A photo you need for a client meeting is buried in a WhatsApp group from October. The "Final v3 (1).xlsx" BOQ has been edited by three people and nobody knows which version is current. A supervisor changed phones and your daily reports for that site are gone. You're spending Saturday mornings reconciling mazdoor wages from screenshots. This page is an honest take on when you've hit that wall — and when you haven't. Below is the breakdown.
Honest Comparison
| Aspect | Site Setu | Excel + WhatsApp |
|---|---|---|
| Cost | Per user — quote after a 30-min call | Free (but high hidden cost in time) |
| Setup time | 1–7 days, 1:1 onboarding | Already set up |
| Sites manageable | 3 to unlimited | 1–2 before chaos |
| Real-time updates | ✓ Live multi-site dashboard | Manual — depends on who messages when |
| Lost data risk | Low — encrypted cloud + daily backups | High — phone changes, group exits, file overwrites |
| Photo / PDF uploads with timestamp | ✓ On every record, served via secure image proxy | Manual + often lost |
| GST invoice format | ✓ Built-in compliant | Manual Excel template |
| BOQ + RA bill tracking | ✓ Linked to work-done % | Manual spreadsheets, error-prone |
| Audit trail (who changed what) | ✓ Full activity log | ✗ None |
| Version control | ✓ Single source of truth | "Final v3 (1) latest.xlsx" hell |
| Reporting time | Minutes | Hours, every Saturday |
| Hindi + English UI & support | ✓ English UI with Hindi labels + Hindi/English support | ✓ Native (it's WhatsApp) |
| Mobile-friendly | ✓ Mobile-responsive web — opens in any phone browser, no install | ✓ But unstructured |
| Search / filter | ✓ Across years, sites, contractors | Scrolling chats forever |
✓ Time to upgrade to Site Setu when…
- →You're managing 3 or more active sites and can't keep them straight in your head anymore.
- →You've faced a GST scrutiny or audit and realised you can't produce the invoice trail.
- →A site photo you needed got lost in a 2,000-message WhatsApp group, or a supervisor changed phones.
- →Your team has 10 or more people editing Excel files — version chaos is daily.
- →You're starting RERA-registered projects and need quarterly progress reports auditors will accept.
→ Excel + WhatsApp is genuinely fine when…
- →You're a single-project owner-builder with 1–2 mazdoors and one site in front of you. Don't fix what isn't broken.
- →You're a very small renovation contractor doing one site at a time, no GST registration, no employees on payroll.
Genuinely — if your business is small enough that Excel + WhatsApp works, that's fine. The day it stops working, we're here.
We ran 4 sites on WhatsApp groups and an Excel sheet for two years. It worked — until GST scrutiny came. I couldn't find the photos for one site, my supervisor's phone was lost, and three of our BOQs had different totals depending on which Excel copy you opened. Switched to Site Setu in March. Now my mazdoor attendance, RA bills and GST invoices all run from one place — and on Saturday I close the week in 30 minutes instead of 4 hours.
